Office Move Checklist

Moving offices, especially in New York City, can be an overwhelming experience. If it’s your first time at the rodeo, there are some key tasks to check off your list (listed in chronological order) (printable version):
- Get a blue print of your new space as soon as possible. You and your vendors will need to reference schematics throughout the process.

- Order your voice and data circuits. Circuit installations typically have a 4-to-6 week lead time (or longer in extenuating circumstances – i.e. a Verizon strike).
- Engage your furniture vendor as far in advance as possible, as furniture lead times can be several months.
- Determine where your new server room / IT closet will go. Be sure to confirm electrical, cooling and security requirements are met. Be sure the location is centralized enough to avoid cabling problems.
- Choose any technology vendors you may need (Cabling, IT, phone, etc).
- Determine your cabling needs based on furniture location. How will the cables get to the furniture in the middle of the room? Also consider plans for the future. Cabling upfront for any hires planned for the near future can save a headache later.
- If construction is involved, get all of your vendors lined up as early as possible and schedule a kickoff meeting with technology vendors, architects, general contractors, etc.
- Determine who is responsible for connecting your circuits from the building’s main telco closet, to the IT/server closet in your office.
- Find out about your new building’s rules and limitations. Does your building require union labor? How late are vendors allowed to work, and how late is the freight elevator open?
- Get a sample Certificate of Insurance (COI) from your building, so you have it on hand when vendors request a copy.
- Select a moving vendor. Make sure their services include physically moving computer network equipment, and make sure this equipment goes last on, and first off the moving truck.
- Assign and schedule people to be in charge of different aspects of the move-in day (FYI – we know a cool company called Consider it Done that specializes in helping out with long to-do lists. Example: putting someone at your new space to wait for your ISP to arrive for installation.)
